Use this view to listen to, delete, and archive your voice messages. To play voice messages, your computer must have a sound card, speakers and streaming audio software.
To play a voice message, click the Name column of that message.
The Voice Messages view does not refresh automatically when new messages
arrive. To check for new messages, click
.

Folder List |
Drop-down list box at the top of the view. Use the Folder List to select which voice messages folder to view. You can view your custom folders and the following three default folders:
To move a message between folders, check its check box, then use the Move To button. See below for an explanation of those fields. |
The following information is displayed for each message. You can sort the view according to any column by clicking the column header.
Some columns are hidden by default. Click Columns to show them.

Check box |
The left-most column of each voice message contains a check box for selecting the message. Once you check a message, you can perform an action on it using the toolbar buttons, such as Delete, Move To, or Place Call. Check multiple voice messages to perform an action on all of them together. | ||||||||

Envelope |
Displays the status of the message.

From |
Click to listen to the voice message. Unheard messages are displayed in bold. From displays the name of the person who left the message, if the caller was a contact or TeleVantage user. If the caller could not be identified, From contains "Unknown." | ||||||||

Received |
Date and time that the voice message was left. | ||||||||
|
Length |
Length of the voice message in minutes and seconds. | ||||||||
|
Number |
Shows the following: "x <extension>" if the caller was a TeleVantage user, showing their extension. The full caller ID string, including name and phone number, if available. "N/A" if neither of the above. | ||||||||

Notes |
Type any notes that you want to preserve with the voice message here. Click Save to attach the notes to the voice message, or the notes will be lost when you leave the voice messages view. If your notes exceed the size of the text box, you can scroll by clicking the small up and down arrows, or by using the up and down arrow keys on your keyboard. | ||||||||

Created |
Date and time the message was created. If the message was forwarded, the original date and time stamp is still used, not the forwarding date. | ||||||||
|
Associate |
Click the Associate icon to associate this voice message with a contact. You can also associate the phone number of the message, so that TeleVantage will recognize the contact on subsequent calls from that phone. |
The following toolbar options are available.

Click to open the Place call to window, where you can click to place calls to extensions, contacts, or other numbers. |

Click to open the New Message window, where you can record a message and send it directly to the voice mail of one or more users. |

Click to switch all checked messages between heard and unheard. |
|
|
Click to mark all checked greetings Urgent. |
|
|
Click to mark all checked greetings Private. |
|
Move to |
Moves all checked messages to the folder you select. Select the folder from the drop-down list, then click the words "Move to." |

|
Moves all checked messages to the Deleted folder. If the checked messages are already in the Deleted folder, they are deleted permanently. |

|
Refreshes the view with the most recent data. |
The following options are available for the view as a whole.

Folders |
Click to open the Folders window, in which you can click any view or folder to open it in ViewPoint Web Access. |

Columns |
Click to open the Columns window, in which you can choose to show or hide columns for the current view. Some views' columns are hidden by default. |

Options |
Click to open the Options window, in which you can set preferences for your TeleVantage account. |

Help |
Click for context-sensitive online Help on this view. |

Log off |
Click to log off of ViewPoint Web Access. If you are requiring password entry, logging off ensures that no one can use your browser's Back button to access your TeleVantage account. Once you log off, you must log on again with your password to return to ViewPoint Web Access. If you are using automatic login to skip password entry, there is no need to log out. Use of the Back button after logging out returns you to ViewPoint Web Access's Voice Messages view without requiring your password. |

Personal Status |
Drop-down list at the bottom of the screen. Displays your current personal status. Click to select a different personal status. |

Call Forwarding |
Click to open the Call Forwarding window, in which you can forward your calls or turn off call forwarding. |
